Beyond Gift Aid: 5 Questions Every Church Should Ask About Its Finances
For many churches, Gift Aid is the finance task that gets the most attention, and with good reason. A valid declaration turns every eligible £1 into £1.25. But reclaiming tax is not the same as having a complete financial picture.
If Gift Aid schedules, bank statements, restricted appeals and trustee reports do not connect, gaps can hide for months. Cash may look healthy while free reserves are thin. A building fund may be quietly funding general costs. Year-end becomes a reconstruction exercise instead of a confirmation of good stewardship.
Before your next finance meeting, work through these five questions. They are designed to surface common challenges and open a clearer conversation about what stronger church financial management looks like.
1. Why Gift Aid Is Only Part of the Picture
Gift Aid sits inside a wider system: donor records, bank reconciliation, fund accounting, board reporting and year-end compliance. When those pieces stay disconnected, churches often experience the same friction:
- Fragmented records. Declarations live in one place, payments in another, and the accounts elsewhere.
- Blind spots for trustees. Leaders see a bank balance, not restricted balances, commitments or free reserves.
- Volunteer risk. One trusted person holds the process in their head, until they are away or step down.
- Year-end pressure. Independent examination becomes harder because the story of the year was never joined up as it happened.

Healthy systems do not collapse when one volunteer is on holiday or steps down.
Do trustees get a clear financial picture, not just a cash balance?
Free reserves, commitments and fund balances should be visible before decisions are made.
