We are currently seeking an experienced and highly organized Executive and Personal Assistant to provide comprehensive support to our directors, contributing to the efficiency and success of our office. We are searching for an individual who not only has an energetic and enthusiastic personality but is also someone who has a proactive mindset and pays extreme attention to detail. We need someone who is resourceful, proactive, takes charge of a situation and is a “mover”.
What You’ll Do:
Calendar & Scheduling management for both directors.
Coordinate and schedule various company meetings, prepare agendas, documents, and action points, track and assign tasks, reschedule meetings as needed, and arrange onsite/offsite meetings for leadership and key clients.
Manage any ongoing projects. Liaise with external tech partners to report and discuss issues, conduct mobile app testing and setup, troubleshoot customer-reported problems, support the team with Bitrix24 and migrations as needed.
Liaise with external sources to acquire business data, make daily calls to business owners to assess interest in selling, schedule meetings, prepare financial analysis documents as required, and manage due diligence follow-ups.
Manage end-to-end recruitment, including job postings, candidate screening, arrange interviews with stakeholders, and onboarding, while handling contracts and overseeing training and go-live plans for sales new hires.
Oversee learning and development by identifying knowledge gaps, creating and updating knowledge base content and coordinating with department heads for collecting the resources.
Manage bookkeeping tasks by uploading invoices to Dext and Bitrix, organizing payment records, and coordinating with external accountants to ensure complete reconciliation.
